- Coordinate and manage the executive's schedule, appointments, and meetings of CEO.
- Prioritize and schedule events while accommodating changes and urgent matters.
- Serve as the primary point of contact for internal and external communications.
- Manage phone calls, emails, and correspondence, handling inquiries and forwarding important messages.
- Arrange and coordinate travel itineraries, including flights, accommodations, transportation, and meeting schedules.
- Prepare travel documents, agendas, and expense reports.
- Schedule and organize meetings, conferences, and presentations.
- Prepare meeting materials, agendas, and follow-up action items.
- Create, edit, and proofread documents, reports, presentations, and memos.
- Maintain organized files and records, both physical and electronic.
- Research and compile information for reports, presentations, and projects.
- Provide accurate and timely information to support decision-making.
- Assist in managing projects, tracking milestones, and ensuring tasks are completed on schedule.
- Collaborate with team members and departments to facilitate project progress.
- Handle sensitive and confidential information with utmost discretion and professionalism.
- Ensure data security and privacy are maintained at all times.
- Assist in planning and organizing company events, conferences, and executive gatherings.
- Manage logistics, invitations, and event details.
- Provide administrative support, including filing, expense tracking, and office organization.
- Perform general office duties such as ordering supplies and managing office equipment.
Other Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in office software (Tech Tools, Microsoft Office, Google Workspace).
- Ability to multitask and manage priorities in a dynamic environment.
- Professionalism and ability to interact with individuals at all levels.
- Strong problem-solving and decision-making skills.
- Detail-oriented with a focus on accuracy and quality.
- Ability to anticipate needs and proactively address issues.
- Discretion and respect for confidentiality.
