Job Description
  • Prepare correspondence, memorandum, and other relevant communication as directed,
  • Monitor all incoming and outgoing documents and communications including external mail, memos, and phone calls before they reach MD,
  • Provide precise support by composing and editing various documents as needed, while ensuring confidentiality when required,
  • Conduct research on relevant data and information for MD within specified timeframes, as needed,
  • Draft, prepare, and circulate agendas of board meetings and annual general meetings in advance, follow up with the Board members and shareholders to ensure their presence in the Board meetings,
  • Take notes during meetings, prepare draft minutes, and collaborate with the MD to finalize them, 
  • Circulate the approved minutes to the Board of Directors,
  • Coordinate travel arrangements, create itineraries, and maintain travel vouchers and records,
  • Compile and prepare expense reports and submit them for settlements,
  • Provide administrative support to ensure the efficient operation of the MD office and corporate office,
  • Coordinate closely with key stakeholder offices and serve as a liaison for the MD,
  • Oversee and organize arrangements to assist MD's daily activities, including travel logistics, hospitality, events, and other professional tasks related to MD’s official duties,
  • Facilitate effective communication by promptly responding to any inquiries,
  • Create and manage the organization’s digital presence, including the website and social media platforms.
  • Any other official responsibilities as assigned

Other Specification:

  • Excellent knowledge of Microsoft office
  • Extensive knowledge of office administration, clerical procedures, and record-keeping systems.
  • Excellent English and Nepali communication skills, both written and verbal.
  • Excellent English and Nepali typing skills.
  • Excellent organizational skills and strong attention to detail.
  • Ability to work effectively within a team and contribute to a positive work environment.
  • Ability to maintain discretion and confidentiality.
