The Tender Manager is responsible for managing and coordinating the entire tendering process from initial inquiry through to contract award. Job Description
Oversee all tender-related activities from start to finish.
Prepare complete tender documents in collaboration with the Administrative Officer.
Ensure timely submission of tenders in line with customer requirements.
Review budget, specifications, and finalize all mandatory documents before the pre-bid meeting.
Communicate with relevant companies and parties regarding tenders and send inquiries.
Draft letters and documents for pre-bid purposes when required.
Ensure compliance with legal, commercial, and technical requirements in all submissions.
Maintain records of submitted tenders and track outcomes for process improvement.
Build and maintain relationships with clients, consultants, and industry partners.
Attend pre-bid meetings and gather all necessary information.
Prepare budget sheets and finalize bid budgets in coordination with management.
Submit tenders after completion and verification.
Attend tender openings and report key information.
Handle post-award responsibilities, such as preparing performance guarantees, letters of agreement, billing, etc.
Coordinate delivery of goods for tenders with relevant authorities.
Provide technical teams with tender specifications and required documents for equipment installation.
Manage coordination until goods are delivered, installed, and payments are received.
Correspond with assigned companies for purchase orders, proforma invoices, agreements, rate negotiations, and other required tasks.
